Introduction and Acceptance of Terms
These Terms and Conditions govern the use of services provided by Mazuri Medical Coding. By engaging our dental billing services or accessing our website, you agree to comply with and be bound by the terms outlined in this agreement. These terms apply to all clients, website visitors, and business partners interacting with our services.
Mazuri Medical Coding provides professional dental billing solutions, including insurance claim submission, payment posting, accounts receivable management, eligibility verification, and related revenue cycle services. All services are delivered in accordance with mutually agreed contracts, service proposals, or written agreements executed between Mazuri Medical Coding and the client dental practice.
By entering into a service agreement with us, the client confirms that all information provided is accurate and complete. The client also agrees to cooperate fully by providing necessary documentation, access to practice management systems, and timely responses required for efficient billing operations.
If you do not agree with these Terms and Conditions, you should not use our services or website. Continued use of our services constitutes acceptance of any future updates or modifications to this agreement.
Scope of Services and Client Responsibilities
Mazuri Medical Coding agrees to provide services as defined in the signed agreement between the company and the client. The scope of services may vary depending on the selected service package and may include claim submission, follow-up, reporting, reconciliation, and administrative support related to dental billing.
While we strive to maximize reimbursements and minimize denials, we do not guarantee payment from insurance companies. Reimbursement decisions are ultimately determined by insurance providers based on coverage policies, patient eligibility, and regulatory requirements. Our responsibility is limited to accurate submission, follow-up, and professional management of the billing process.
Clients are responsible for ensuring that clinical documentation is accurate, complete, and compliant with applicable regulations. The dental practice retains full responsibility for patient care, treatment decisions, and the accuracy of medical records. Any errors in documentation that impact claim outcomes remain the responsibility of the client.
Clients must also ensure timely payment of service fees in accordance with the agreed billing terms. Failure to meet payment obligations may result in suspension or termination of services. We reserve the right to refuse service if false, misleading, or incomplete information is provided.
Both parties agree to maintain professional communication and cooperation to ensure efficient service delivery and optimal revenue cycle performance.
Confidentiality, Data Protection, and Compliance
Mazuri Medical Coding is committed to maintaining strict confidentiality regarding all client and patient information. We comply with applicable federal and state regulations, including the Health Insurance Portability and Accountability Act (HIPAA), to safeguard protected health information (PHI).
We implement administrative, technical, and physical safeguards to protect sensitive data from unauthorized access, disclosure, or misuse. Access to confidential information is restricted to authorized personnel who require it to perform assigned responsibilities. Employees and contractors are trained on data privacy standards and confidentiality obligations.
The client agrees to provide secure system access and maintain appropriate safeguards within their own practice management environment. Both parties share responsibility for ensuring data protection measures are upheld.
In the event of a data breach or security incident, Mazuri Medical Coding will follow established response procedures, including investigation, containment, and notification as required by law. Our liability in such events will be limited to the extent permitted by applicable regulations and contractual agreements.
Confidential information may only be disclosed when required for claim processing, payer communication, legal compliance, or regulatory obligations. Under no circumstances will we sell or distribute client or patient information for marketing purposes.
Limitation of Liability, Termination, and Modifications
Mazuri Medical Coding provides services on a professional and best-efforts basis. While we aim to improve revenue performance and billing efficiency, we are not liable for delays, denials, or financial losses resulting from payer decisions, regulatory changes, inaccurate documentation provided by the client, or circumstances beyond our reasonable control.
Our total liability for any claim arising out of or related to our services shall not exceed the total service fees paid by the client during the preceding three months, unless otherwise specified in a written agreement.
Either party may terminate services in accordance with the notice period outlined in the service contract. Upon termination, all outstanding fees for completed services become immediately payable. We reserve the right to suspend or terminate services if contractual terms are violated or payments are significantly overdue.
These Terms and Conditions may be updated periodically to reflect operational, legal, or regulatory changes. Updated versions will become effective upon publication or notification to clients. Continued use of our services following such updates constitutes acceptance of the revised terms.
If any provision of these Terms and Conditions is deemed invalid or unenforceable, the remaining provisions shall remain in full force and effect.
